Plans

What the Free, Basis, Professional and Enterprise plans include – and what happens when a limit is reached.

Every organisation is on a Plan: Free, Basis, Professional or Enterprise. A new organisation starts on Free. The plan is part of your contract – only the platform operators change it. To change your plan, contact us.

Your plan in the CMS

Administrators see the plan under Settings › Organisation, in the Plan: … card:

  • a bar each for Storage, Users, Markets and Note templates – how much is used of how much. A bar turns amber at 80 %,
  • Versions kept per document and Largest file per upload,
  • the features the plan includes.

Settings your plan does not include are marked in the navigation with the plan that has them, e.g. Professional. Opening one shows Available from the … plan at the top – what the feature does, with See plan & usage and Compare plans. Below it the page is faded and cannot be used: what was set up before a plan change stays visible. The button at the top right, e.g. New workflow, is locked as well.

  • Storage counts what you upload: every kept version of a document and the pictures in notes. The previews and thumbnails DDM makes from them – a film's still included – do not count.
  • Users counts the members who are not blocked plus the invitations still open. Platform operators do not count.
  • Versions kept per document includes the current version. On Free, a new upload replaces the file. No plan keeps more than 5 versions – see Settings › Versioning.
  • Enterprise limits can be agreed per contract – more storage, more users, a longer audit log, or no limit at all. The platform operators set them; the Plan card marks such a limit per contract. Versions stay at 5 at most.

When a limit is reached

Reaching a limit never deletes anything. Only the next addition is refused:

  • an upload that no longer fits into the storage, or a file larger than the plan takes,
  • an invitation once every user seat is taken,
  • a further market or note template.

Make room – delete old files, remove people who have left, withdraw open invitations – or change your plan.

The directory sync does not add people once every seat is taken. Its result then says … not added — every user seat of your plan is taken; everyone else is updated as usual.

Moving to a smaller plan

Everything stays, and stays visible – documents, users, markets, templates, workflows, settings.

  • Features the new plan does not include can no longer be changed or run: nightly syncs, retention runs, the AI assistant and connected AI apps stop. You can still switch them off or delete them.
  • Above a limit, you add nothing more until you are below it again.
  • A document with more versions than the new plan keeps loses the oldest ones at its next upload – not before.
