MCP server

What you can do with it

Examples of the MCP server for each role – what you ask the AI, which tools it uses for it and when you approve.

Here are everyday examples – grouped by what you do in DDM. Just write in your AI app what you need, in your own words. The AI picks the tools itself; which ones is shown below each example. All tools in detail under Tools.

The AI can combine answers from DDM with everything else it can do: draft texts, translate, compare, build tables. That is where the real value lies – "Read the price sheet and turn it into an email to the customer" works in one step.

For readers and sales

You look for documents, read them and prepare appointments. All you need is reading – none of this changes anything in DDM.

You askThe AI uses
"Find the current price sheet for Austria."search_documents
"Summarise the product brochure X for me in five points."search_documents, get_document_text
"What do the warranty terms say about wear parts?"search_documents, get_document_text
"Compare the data sheets of model A and model B in a table."search_documents, get_document_text
"What is new in DDM this week?"list_new, list_highlights
"I have three customer meetings tomorrow – which documents are attached to them, and what should I read beforehand?"list_appointments, get_document, get_document_text
"Which documents did I have open last? Pick up the manual where I left off."list_recent, get_document_text
"What is in the Training category?"list_categories, list_documents – or the prompt summarise_category
"Turn the price sheet into a short email to a customer in Spain, in Spanish."search_documents, get_document_text

For a weekly overview there is the ready-made prompt weekly_digest: new and highlighted documents, open approvals and your next appointments.

For editors and filing

You look after categories and documents. For this, the connection must have allowed Change, with your approval, and you need full access to the categories concerned. The AI shows every change as a preview first – see Approving changes.

You askThe AI usesApproval
"Create a category 'Trade fair 2027' under Sales."list_categories, create_categoryyes
"Rename 'Prices old' to 'Prices 2025' and move it under Archive."list_categories, rename_categoryyes
"Move all data sheets from 'Miscellaneous' to 'Technical › Data sheets'."list_documents, refile_documentsyes
"File the new price list under 'Dealers' as well."search_documents, refile_documentsyes
"Archive all price sheets from 2024."search_documents, set_document_statusyes
"Highlight the three new brochures and remove the old highlights."list_highlights, list_new, set_highlightyes
"Give the document 'scan_0042.pdf' a meaningful name based on its content."get_document_text, update_documentyes
"Upload the new price list from my Downloads folder to 'Sales › Prices'."list_categories, prepare_upload, upload_documentyes
"Replace the data sheet X with the file at https://…"search_documents, upload_documentyes
"Summarise the three offers and file the summary as a PDF under 'Offers'."get_document_text, upload_documentyes
"Tag every price sheet in 'Prices' with '2027' and allow sharing."list_documents, update_documentyes
"Delete all drafts from 2023 in 'Miscellaneous'."list_documents, delete_documentsyes
"Which documents in 'Technical' look out of date?"list_documents, get_document_textno
"Add the manual to my favourites."search_documents, add_favoriteyes
Several documents at once – up to 50 – come in one suggestion. So you approve once, not for every document.

For approvers

You make decisions in approval workflows. The AI helps you go through the pile and prepare the decision.

You askThe AI usesApproval
"What is waiting for my approval, and by when?"list_pending_approvalsno
"Read the document waiting for me and tell me what has changed compared with the guidelines."list_pending_approvals, get_document_textno
"Approve the data sheet."decide_approvalyes
"Reject the brochure – the prices on page 3 do not match the price list."decide_approval (with comment)yes
"How far along are the documents I submitted?"list_pending_approvalsno

For administrators

You manage people, groups and permissions. These tools are only given to people who are administrators in DDM.

Understanding permissions

You askThe AI uses
"Why can't Anna Schmidt see the Austria price sheet?"list_users, search_documents, explain_access
"Who can see the 'Board' category?"get_category_permissions – or the prompt who_can_see
"Which categories does the Field sales group reach, and with which level?"list_groups, get_group_permissions
"What may John Smith see, and through which group?"list_users, get_user
"Who is in the Dealers group?"list_groups, get_group_members
"Which invitations are still open?"list_users

Analysing

You askThe AI uses
"Who deleted or moved documents in 'Prices' last week?"get_audit_log
"What have AI apps changed in the last few days?"get_audit_log
"Which documents are used most, and which are never opened?"get_usage
"What do people search for without finding anything?"get_usage
"Give me a monthly usage report as a table."get_usage

Changing groups and permissions

Here too the AI only suggests; you approve every change.

You askThe AI uses
"Add Anna Schmidt to the Field sales group."list_users, list_groups, add_group_member
"The Dealers group should no longer see 'Internal prices'."get_category_permissions, set_category_permissions
"Give the Marketing group full access to 'Campaigns'."list_groups, set_category_permissions
"This one document in 'Board' should also be readable by the management team."get_document_permissions, set_document_permissions
Check the preview carefully for permission changes: it shows which groups and people get which level. A change to a category affects everything below it that inherits.

What is not possible

  • Starting approval workflows, maintaining markets or translations. You do that in the CMS.
  • Inviting or blocking people, or changing roles. The AI can only add people to groups and remove them.
  • Approving documents without you being asked. Every change needs your approval – and only you give it, never the AI.
  • Seeing more than you. The AI works with your permissions.
